HP Middle East Helps Companies to Manage Their Print Environment to Keep a Lid On Costs

If printers could talk, they would be capable of revealing some telling stories about the enterprise; from pay-slip amounts of million dollar contracts, everything passes across these devices. In the absence of talking devices, management tools can ensure that the insightful data generated by an enterprises' printer fleet is collated, analysed and put to good use.

In addition to being a window on the enterprise, print management strategies can also help companies maintain a keen eye on costs. An internal HP case study demonstrates, for instance, that using HP's Universal Print Driver to configured for duplexing saves up to 700 tons of paper a year, generating annual savings of Dhs23m for enterprises worldwide.

Amin Mortazavi, General Manager for HP Middle East Imaging and Printing Group commented, "Effective management of the enterprise print environment inevitably makes that environment more secure. Management tools can be used to track and control access, implement compliance procedures and provide alerts in the event of inappropriate use of equipment. Our own customers are acutely aware of this implication: 80 per cent perceiving that protecting confidential business content from unauthorized access is the most important security issue facing the imaging and printing environment."

Artur Khodzhaev , IT manager, Vimpelcom (an HP IPG customer) sums up the difference the use of enterprise management tools has made to the company's operations "Now we have a precise idea of what's being printed and when, plus the ability to update drivers and security protocols instantly."

Consolidation of the hardware fleet through print assessment can also dramatically reduce energy use. Such an approach helped Nottingham Trent University reduce the energy consumption of their print environment by 35%, contributing to them retaining their title as number one green university in the UK. Management policies can also prevent unauthorised colour printing via a permissions based process, thus eliminating the costs of unauthorized supplies use.

In additions savings can be generated by using fleet management tools such as Web Jetadmin to monitor and centralize the management of the printers directly reducing maintenance costs and automating the entire managed process.

A variety of tools, and fleet management suites exist to provide a clear visibility on the status of the enterprise print environment and the behaviour of those who interact with it. These range from the freely available downloads such as Web Jetadmin,to contractual-based solutions which provide an even greater level of management information and sector-specific analysis such as HP's newly-unveiled Smart Decision Suite. HP's Smart Decision Suite is delivered as part of a wider Managed Print Services offering delivering live data on all aspects of device activity, supplies, security and print management.

These assessments enable print managers to understand how their enterprise compares with business and functions of similar size and nature, identify and implement good practice and opportunities for efficiency gains.
